Microsoft Office 365 Email is a great new feature that is built into several of the Office 365 business packages. Mastering this tool, however, requires a little bit of effort and, possibly, the benefit of some outside assistance.
Starting with the Right Subscription
There are a total of six business Office 365 subscriptions, and not all of them include email. Office 365 Business Essentials, Office 365 Business Premium, Office 365 Enterprise E1, and Office 365 Enterprise E3 all include email service. Office 365 Business and Office 365 ProPlus do not. Email encryption services are only available on the Enterprise E1 and E3 level plans, excluding ProPlus. Selecting the right service is essential, because email and email encryption aren’t the only features that differ depending on the plan you select.
Understanding the Email Feature
The email feature available with Office 365 is based on the Outlook technology, but also includes the actual email address and storage functions. According to Microsoft, the advantages of Outlook can be summed up as: “A clear, coordinated view of emails, calendars, and contacts keeps you on top of what’s going on.” These subscription services allow you to access your email from multiple computers, as well as from your phone and your tablet. Microsoft also claims, indirectly, that Outlook is easy to learn to use, though you wouldn’t be the first person to have trouble adapting to Outlook.
Using the Encryption Bonus
The main advantage to Office 365 email, though it’s accessed only at the Enterprise level, is the ability to set company-wide parameters regarding the encryption of outgoing and internal emails. When one of these parameters is tripped, the email is automatically encrypted for secure transfer. It can be difficult for businesses without in-house tech support services to set up the parameters that will trigger the encryption process, but once those parameters are set up the encryption will occur automatically.
